Project Background

The PRIAT Project aims to strengthen agricultural value chains, improve market access, promote crop diversification, and increase farmer incomes and resilience across selected districts of Punjab. Effective and transparent field-level financial and administrative management is essential to support the project's activities, teams, and reporting requirements at the district level.

Role Purpose

The Accounts and Admin Officer will be responsible for basic bookkeeping and financial record-keeping, day-to-day office administration, field logistics coordination, data entry support, and maintaining field staff attendance records at the Talagang Field Office.

The position will serve as the primary administrative and accounts support at the field office level and will work closely with the Field Team Lead and field staff to ensure smooth day-to-day operations.

Key Responsibilities

Bookkeeping and Accounts

  • Maintain basic bookkeeping records of the field office, including day-to-day receipts, expenses, and petty cash.

  • Record and reconcile financial transactions in Excel/ledgers on a regular basis.

  • Prepare and maintain supporting documentation (vouchers, receipts, invoices) for all expenses in line with project procedures.

  • Assist in preparing monthly expense summaries and financial reports for submission to the head office.

  • Support internal and external audits by maintaining organized and up-to-date financial records.

Office Management

  • Manage day-to-day administrative operations of the Talagang Field Office.

  • Maintain office supplies, equipment, and inventory records.

  • Handle correspondence, filing, and record-keeping for the field office.

  • Coordinate with the head office on administrative and procurement matters as required.

Field Logistics

  • Coordinate and manage field logistics, including transportation arrangements for field staff and project activities.

  • Maintain vehicle/transport logs and support scheduling of field visits.

  • Ensure logistical arrangements are in place for meetings, trainings, and field events.

Data Entry and Reporting

  • Perform basic data entry and maintain project databases and Excel sheets.

  • Collect and compile data and reports from field staff in a timely manner.

  • Support the field team in organizing and digitizing field records.

Field Staff Attendance and Support

  • Maintain accurate attendance records of field staff at the Talagang Field Office.

  • Track and follow up on leave requests and attendance-related queries from field staff.

  • Address routine administrative queries raised by field staff and escalate issues to the Field Team Lead as needed.

Qualifications & Experience

  • Bachelor's degree — B.Com or a relevant discipline (Commerce, Business Administration, Accounting, or related field).

  • Minimum 3-4 years of relevant experience in bookkeeping, accounts, or office administration, ideally in an NGO/development project setting.

  • Proficiency in MS Excel is required; familiarity with basic accounting software/tools is an advantage.

  • Experience in Punjab, particularly the Chakwal/Talagang area, is preferred.

  • Fluency in Urdu and the local dialect is essential; working knowledge of English is desirable.

Skills & Attributes

  • Strong numerical accuracy and attention to detail.

  • Good organizational and record-keeping skills.

  • Proficient in MS Excel and basic MS Office applications.

  • Good interpersonal and communication skills to coordinate with field staff.

  • Ability to work independently and manage multiple administrative tasks.

  • Willingness to travel locally within Talagang/Chakwal as required for logistics coordination.
