The Officer will provide operational and analytical support to the Support Services’ work, ensuring effective execution of Admin & Procurement processes and financial controls in line with organizational policies and audit requirements. The role requires a sound understanding of financial documentation, procurement cycles, and audit compliance. The position is ideal for a detail-oriented professional with strong interpersonal skills, looking to contribute to efficient service delivery and compliance within a dynamic environment.
Key Responsibilities:
Procurement Support
- Assist in the end-to-end procurement process, including bid evaluations, comparative statements, and contract management in accordance with procurement policies.
- Maintain and update procurement records and vendor databases.
- Coordinate with internal departments to ensure timely processing of purchase requisitions.
- Support in vendor performance tracking and reporting.
- Ensure comprehensive compliance review.
Financial & Audit Support
- Assist in financial documentation, invoice processing, and verification in line with audit and compliance standards.
- Prepare financial reports and reconciliations for internal reviews.
- Liaise with finance and audit teams to facilitate internal and external audits.
- Monitor budget utilization and flag variances against planned expenditures.
Operational & Administrative Coordination
- Provide coordination support in preparing documentation, reports, and minutes for procurement and finance-related meetings.
- Ensure proper filing and documentation of procurement and finance-related transactions.
- Support the implementation of internal control measures and compliance checklists.
Qualifications and Experience:
- Professional Certification in accounting, i.e., ACCA, only with completion of articleship from an audit firm.
- Post qualification experience is at least 5 years in audit, finance, and/or procurement roles, preferably in the development sector.
- Familiarity with procurement policies, financial systems, and proficiency in audit procedures.
Skills and Competencies:
- Strong analytical and numerical skills.
- Proficiency in MS Office, especially Excel; knowledge of ERP/SAP is a plus.
- Excellent organizational and documentation skills.
- Good written and verbal communication.
- Ability to work collaboratively across functions and manage multiple tasks under tight deadlines.
