About the role:
The Fleet Management Officer will be responsible for planning, directing, managing, coordinating, and supervising the programs for the acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of fleet vehicles. He will also serve as the primary contact concerning the vehicle fleet and operations. He will make the ultimate decision on whether a vehicle is safe to have on the road.
Your Job Responsibilities will include
Fleet management
- Ensure overall fleet maintenance (Head Office and all field locations) in coordination with field admin team, finance and procurement team at Head Office to ensure prior approval and budget allocation is obtained and proceed for vehicle repair and maintenance through expert mechanic arranged by Procurement department following standard operating procedures
- Fuel management & analysis
- Develop annual plans for the Repair and Maintenance of vehicles
- Ensure the inventory of vehicles i.e. spare parts, old tyres and batteries are properly stored
- Budget Allocation and approval on Repair and maintenance
- Process renewal of all fleet related matters such as registration, transfers, token renewal, toll taxes, insurance and vehicles trackers
- Prepare analysis of tyre running, battery usage, engine, timing belt and lubricants and seek approval from the management for timely actions
- Prepare report on overall fleet management with graphical representation to show effectiveness and efficiency of vehicles i.e. servicing, fuel average, vehicle condition at organizational level
Local travel plans & arrangements
- Coordinate with program team on daily/ weekly basis for the whole week travel plans to ensure timely arrangements
- Coordinate with Admins for timely purchase of tickets, accommodation and pick and drop from and to bus stand / office
- Proactively assign and manage fleet to ensure availability of vehicle for unexpected demand and request for travel arrangement
- Prepare and submit request to procurement team for rented car based on budget allocation
- Ensure cars are rented in through proper procedure, meeting all the requirements of quality. safety and cleanliness standards
Team Management
- Supervise all drivers and guide them through their routine work for effective performance delivery
- Make performance evaluation for drivers to validate their quality of work and attitude towards task assignment
- Make sure all drivers adhere to Driving regulations and have updated driving licenses.
- Ensure logical and consistent deputation of Drivers in projects and other assignment
- Ensure provision of training for all drivers to keep them updated with trends and practices
Job Specification:
Education:
- Bachelor's degree (16 years of education) in a relevant field including logistics, supply chain management, transportation management, etc.
Work Experience:
- 3 or more years of relevant experience.
